Planning an Outdoor Wedding Reception

Bridal magazines are filled with pictures of weddings set in beautiful outdoor locations. From beaches to rainforests, the variety of outdoor wedding venues is virtually unlimited. However, when it comes to planning a celebration in an outdoor location the experience can be less than picture perfect. Before you send out tropical wedding invitations encouraging guests to attend a ceremony taking place in a coastal paradise, be sure to consider the many factors that go into making a truly successful outdoor wedding and reception.

A Formal Venue or an Informal One?

People planning a wedding or reception must first consider whether or not they want to partner with an established venue. Established venues such as clubhouses and reception halls are likely to be more expensive than simply borrowing a neighbor’s beach-side property. However, established venues have the advantage of providing virtually everything that a reception or wedding requires. This saves planners considerable expense and hassle.

Other Outdoor Celebration Considerations

The practical considerations of venue are only the first factors that have to be carefully thought about. Outdoor venues also present a host of other potential conflicts, such as:

  • Accessibility – Can elderly relatives and other peoples using canes, walkers, or wheelchairs safely access the party site?
  • Allergies – Ragweed, Russian olive trees, grass, and other major allergens see spikes in different seasons. Finding an allergy-free time to hold your reception or wedding might be very difficult.
  • Facilities – Established venues will have restrooms, nursing rooms, and accessible restrooms available while rustic settings will not.
  • Power and food storage – Readily available electrical outlets, refrigerators, ovens, freezers, and other appliances are unlikely to be a problem in established venues; all power and food prep considerations will have to be addressed if you plan to celebrate in a rustic location.

You can include a message on beach save the date cards to inform guests of what to expect in your chosen outdoor venue.
